FAQs for Training Providers

1. How does BOHS charge for examination fees?

There is a minimum charge of four candidates per invigilated sitting, and we will invoice for the number of exam papers ordered. For further details on exam fees, please click here.

2. What are the exceptions to the minimum paper charge i.e. for the number of papers actually used?

For CCHRC, P600, P900, P400 and the refresher courses there is no minimum charge.

3. If I want to cancel the exam, what is the process and is there a fee involved?

Sufficient notice is required in order to cancel an exam. Please see below the fees for cancelling an exam:

>5 days’ notice  No charge

<5 days’ notice  Cancellation fee applies*

*The cancellation fee will be the examination charge of one candidate.

4. What is the latest time BOHS can send out extra papers (for potential late candidate bookings)?

BOHS always provides spare exam papers within the exam packs in cases of emergency such as a potential late candidate booking. Your location will determine how many spare papers are included. 

UK - 2 spare papers

International - 5 spare papers

5. What do I do if a candidate informs us they require a reasonable adjustment?

If a candidate informs you of a medical condition or learning disability (e.g. dyslexia) that can affect their examination performance, you will need to contact your Customer Support Officer.

Please Note:

  1. If the adjustment is for an extra invigilator we will charge you for the additional invigilator.
  2. Evidence* of a learning disability/medical condition is required in order to assess necessary adjustments.

*Evidence usually consists of a medical report/letter from your GP outlining the condition and what requirements are needed.

6. What do I do if a candidate has a medical condition that requires them to sit in a separate room?

If a candidate informs you of a medical condition that requires them to sit in a separate room, you will need to contact your Customer Support Officer. Evidence is required to evaluate and advise on the reasonable adjustments we can make.

Please Note:

  1. If a second room is required a secondary invigilator will be needed, and we will charge you for the additional invigilator.
  2. Evidence* of a learning disability/medical condition is required in order to assess necessary adjustments.

*Evidence usually consists of a medical report / letter from your GP outlining the condition and what requirements are needed.

7. For certain courses there is a requirement to hold other qualifications. How do we verify the candidate has the qualification? i.e. D407, P903, P904, P602, P603 and P604.

Please ask the candidate to provide a copy of their certificate. If the candidate is unable to provide a copy or you are unsure of the validity of their certificate, please contact your Customer Support Officer for confirmation before accepting them on to the course.

8. Can we take on resit candidates alongside first-time candidates sitting the exam?

Resit candidates can retake any exam, you are approved to teach, alongside other candidates.

9. What if the resit candidate is sitting a different exam to other students?

If the delegate is resitting a different exam, please refer to your Calibrand user guide.

Your Calibrand user guide will have been sent to you via email.

If you cannot find your Calibrand user guide or require any support, please contact your Customer Support Officer. 

10. What do we do if an invigilator is late?

Invigilators should be at the venue at least 30 minutes before the start time.

If the invigilator is not present, please contact the qualifications team on 01332 250700.

11. What to do if the invigilator is sick or has an accident on the day of the exam?

If we have been notified, we will call the training provider immediately.

If alternate arrangements cannot be made, another examination date must be agreed by all parties.

The charge for this exam will be carried over to the new date.

12. Will we need to run an ID check for the delegates?

Each candidate is required to provide proof of ID on the examination day.

As a training provider, you are responsible for ensuring candidates have been vetted correctly prior to the examination day.

13. What if a candidate has a query or complaint about their marked exam script?

The candidate will automatically receive feedback on their written examination performance along with their results letter for all Proficiency modules. The feedback shows a breakdown of their marks against sections of the relevant syllabus or course specification.

Please Note: We will NOT provide a copy of the candidate’s examination paper or information about individual questions.

If their initial marking fell into a borderline range, it is automatically passed to a second marker to validate.  The final result is as marked/verified by the second marker and this is shown on their results notification letter.

We do advise all candidates to share the results of the Enquiry and seek guidance from their training providers before undertaking any resit.
